Minutes of April 14, 2024, Board Meeting

Location: Valleyhi Community Fire Ring

The meeting was called to order at 10:36 AM

Proper Notification of the meeting was given, and a quorum was present.

The meeting was attended by:

Trustees: Tom Freeburg, Danielle Small, Shane Glasenapp, Susan Raley, and Mike Weil

President Karl Ruether

Meters:

It was discussed that a process is to be put together to inspect the meters to indicate which meters are working and not working properly also accompanied by documentation of said meters. Tom volunteered to follow up with Jason our watermaster about this, and to request Jason be at the annual meeting. The board plans to revisit the meter discussion at a later date. This will allow focus on the most important issue at hand, the deteriorating water reservoir.

Special Meeting:

The board is calling for a special meeting after the annual meeting regarding the funding of the water reservoir. The board plans to have a short annual meeting which will make more time for the special meeting. The board would like to propose and vote on an assessment to pay off our current loan with the current DWSRF. Once the current loan is paid off the board will look to procure another loan to pay for construction of a new reservoir. This would create a much lower one-time assessment from the members than if funded privately by the members.  It was discussed that if a member has an outstanding balance, they will not be able to cast a vote at the special meeting. The board would like to get a letter out to the members by April 30th thanking those for their response to the most recent mailing regarding options for private funding. Included in the letter would be the option to pay off our current DWSRF loan and to procure another loan from the DWSRF for the new reservoir construction. Due to the response from the previous mailing, the board feels that this would be our most affordable option for everyone in the community.
