Minutes of April 15th, 2025, Board Meeting

Location: 97 Rock House

 

The meeting was called to order at 6:07 P.M. by President, Karl Ruether.

Proper notification of the meeting was given.

Minutes: A MOTION to approve the February meeting as written was made, seconded, and unanimously approved.

 

Treasurer’s Report

The Summary of Checking and Cash/Assets Accounts as of May 9th 2025 Indicated a balance brought forward of $71,969.19. After accounting for deposits made and checks written the balance brought forward was $82,134.75. The Dedicated Repayment Account balance was $1,253.07. The Community Dues Checking Account balance was $615.83. The Capital Reserve Checking Account was $6,364.26. The Reservoir Replacement Account balance was $20,500.00. The Savings Account balance at $0.05% was $1,591.16. The First Federal High Yield Savings Account balance at $3.30% was $53,308.62. The CVB CD balance was $104,942.09. The Accounts Receivable was $182,147.81. Our Total Assets balance is $452,857.59. The 2009 DWSRF Project Loan balance is $113,927.11.

 

Discussions were had regarding our CD renewal date of July 24, 2025, as it pertains to intended loan payoff date. Funds will need to be available for loan payoff.

 

         

Water System

  • John Torrance has been asked for a progress report on the next steps needed for reservoir replacement planning, Danielle will follow up.
  • Water spigot at pumphouse is no longer operable due to the abandoned line break. Plans to repair/replace were discussed and combine with implementation of field sprinkler. Mike will follow up with Jason on the feasibility of the plan and request preferred excavator vendor referrals.
  • A discussion was held regarding the timing of additional mailings for water maintenance fees and reservoir replacement assessments, it was decided that no additional mailings should be sent until after the respective due dates of those bills.

 

 

Community Projects

  • Review of clean up day on Lot 1. The total cost was $400.00 for chipper and dump run.
  • Owners of Lot 2 will be building a gate to help control unwanted access on their personal property.
  • Remaining wood on Lot 1 will be offered to the firewood sales vendor down Blewett Pass. Mike to perform outreach.

  • Damaged benches around the pond were discussed. Tom has already reached out to resident Jim Wolf for assistance.
  • Recap of businesses interviewed for the replacement bookkeeping position was given by Tom and Danielle. Laura Thompson was selected as the ideal candidate to replace Jim Weins in his upcoming retirement.  A motion for VCC to pay for services from both Jim Weins and Laura Thompson for the month of July to facilitate a smooth transition was made, seconded and passed. Tom will handle follow-up with all interviewed candidates.
  • A discussion was held regarding the ownership of our URL and the need to secure direct ownership. Karl will follow up with 3 Sherpas.

 

 

 

New Business

  • Jim Nies offered information on internet to the VCC in an effort to make the office space more functional. He will follow up with a selection of providers.  A motion was made, seconded and passed to put internet into the office space.
  • A potential candidate for our open Secretary/Treasurer position was recommended by Jim Nies, Danielle will perform outreach to set up a meeting to discuss the opportunity with her.
  • Tom Freeburg reports a community member is interested in volunteering to be our Firewise representative for Valleyhi. His name is Cody Smith.
